Artwork Mailbox
• We will match each PO received with the respective art for it from the art mailbox.
• We will create an exception report at the end of each day for all PO’s which are missing artwork.
• Appropriate action is taken on each email depending upon whether it is a revised artwork, change in imprint or art information etc and the same is updated in the system.

Paper Proof Mailbox
• We will monitor each approval that comes in here and update the same in the system so that the final files for printing can be created.
• In case of a revision or correction requested the same is updated in the system and forwarded to the art department so that a revised proof can be sent to the customer.

Electronic Fax Mailbox
• All PO’s received by fax are converted into an electronic format and forwarded to a centrally located mailbox.
• We will read each email to determine whether it’s a sample order, purchase order or something else pertaining to a different division like credit and collections, accounts payable etc.

Changes Mailbox
• Any change requested to an order after it has been already entered into the system is forwarded to the changes mailbox and appropriate changes are made in the system.
• If the order has already hit the production floor then the respective authorities are contacted and updated.

Custom Quote/ Regular Quote Mailbox
• All requests for custom quotes and regular quotes are entered into the system and forwarded to the respective department for further action.
